Entry-Level Safety Coordinator

The Safety Admin assists the Safety Manager in the organization and implementation of TRIO’s health and safety plan.



  1. Training
  • Assist the Safety Manager with communicating safety incidents, training classes, meetings, and other safety related information to all employees
  • Researches, plans, organizes and conducts training programs, seminars and conferences for employees.
  • Writes material for new training programs; reviews, evaluates and modifies existing and proposed programs; recommends appropriate changes
  • Assists with preparing and administering various training programs
  • Administers and evaluates training program qualification tests and determines eligibility of prospective attendees.
  • Prepares and distributes training aids such as instructional material, handouts, evaluation forms and visual aids; sets up audiovisual equipment and makes presentations when necessary
  • Contacts attendees and department representatives about training program
  • Schedules the appropriate classroom and prepares the physical setup
  • Determines LMS and administration of companywide training for technical, soft skills, compliance and safety
  • Assist the Safety Manager in maintaining an industry leading safety program and record
  • Assist the Safety Manager in the process of developing, maintaining, and implementing processes and procedures that will help make Trio’s human capital the best in-class via safety education and training
  1. Documentation
  • Respond to safety incidents maintaining the utmost in case management by avoiding lost time & recordable to the maximum extent possible while re-adjusting employees’ job assignments when necessary
  • Conduct accident/incident investigations and communicate summary details to Safety Manager
  • Prepare for and administer random drug screens
  • Maintain a job log of specific sites visited and inspected and submit to the Safety and HR Manager
  • Ensure each foreman has his/her project MSDS binders and First Aid Kits at all times
  • Ensure compliance with safety reporting requirements throughout the organization including Toolbox Talks, Safety Inspections, and Vehicle Inspections
  • Maintain and input training qualifications of field and office employees
  • Maintains close relationship with subcontractor leads to ensure company policy compliance
  • Labor subs – work with subcontracting firms to ensure they are in compliance with all company policies including safety, insurance, etc.
  • Track all daily, weekly and monthly paper required field employees are being submitted timely and provide reports to Field Superintendent, Operations Manager & HR as required by employee on who is and is not keeping up with their paper work.
  • Ensure that handbooks and important documents (eg. Employee Handbook, Foreman Binder, HR Policies, Safety Policies, and Information Technology Policies) are kept up-to-date and pushed out to employees educating workers in regards to changes
  • Maintain sensitive files and records
  • Safety Inspections performed by Foreman are documented
  • Drug screen administration is documented and filed
  • Reporting of injuries, accidents, and near misses
  1. Purchasing
  • Review and process Purchase Orders and invoices
  • Communicate Purchasing Clerk and Purchasing Manager on any Accounts Payable issues
  • Select inventory and tools or pack customer orders under supervision
  • Responsible for receiving, handling, and storage of all goods delivered to shop
  1. Communication
  • Communicate jobsite assignments to ALL field leaders and individual employees as needed to ensure the right people are at the right place each day
  • Responsible for coordination of all communications to be communicated to the field from the office.
  • Communicate upcoming events via E-mail, phone calls, text messaging, and in-person
  • Prepare and distribute company memos
  1. Inventory
  • Conduct monthly inventory of PPE items in warehouse and submit to Safety Manager
  • Load or unload delivery vehicles and assemble stock onto pallets, warehouse trucks, racks, or shelves
  • Open cartons, bundles, and other containers and place into designated area by hand, hand truck, or other equipment
  • Weigh, count, and record units of stock for field order verification
  • Inspect packages to ensure they are not damaged; exact quantities arrived and are being sent to the correct location
  • Store materials in pre-fab area and warehouse by job number in organized fashion which includes grouping materials by job number, making sure shipping tickets stay with goods and making sure boxes are all facing outward with job number clearly printed on box so they can be easily found
  • Store these items in organized manner
  • Let immediate supervisor know when items are picked up
  • Maintain tools, vehicles, and equipment and keep parts and supplies in order
  • Keep warehouse, office and company vehicles clean and in good working order at all times.  
  • Sweep and eliminate all litter and trash that routinely collects throughout the facility
  • Store all things both inside and outside in a neat and orderly fashion
  • Organize, maintain, track, and label all company-owned tools located in the warehouse and the field
  • Keep everything in good working order including routine maintenance and repair
  • Ensure each tool has all parts, pieces, and instruction manuals needed to properly operate at all times in a safe manner
  • Keep detailed daily inventory of existing tools in order to find location/responsible party and be sure all tools are clearly engraved/marked with “Trio Electric” and a tool number at all times
  1. Other
  • Copy, scan, file, and fax items as needed
  • Open mail daily and sort statements, checks, and invoices
  • Maintain complete confidentiality in all issues. This position has access to very sensitive data – a single violation of confidentiality will result in termination.
  • Handle special projects as assigned
  • Other duties as assigned



  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Knowledge of the structure and content of the English language including rules of composition and grammar.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of business equipment including computers, printers, copiers, scanners, digital cameras, cell phones
  • Above average knowledge of business software including MS Word, Outlook, PowerPoint, Excel, and Access; CompuerEase preferred
  • Coordinating people and resources


Skills & Abilities

  • Provide first-class customer service to all kinds of people by understanding their needs and providing suitable solutions
  • Develop electronic documents, using computers to organize data, and maintaining files and records
  • Maintain strict confidentiality as it relates to the knowledge that this position will be responsible for
  • Effectively interact with company employees as well as other company personnel to enlist needed cooperation and implementing regulatory requirements
  • Highly proficient operating a desktop computer running Microsoft Windows
  • Highly proficient with Microsoft Excel, Outlook, Word, Internet Explorer, Microsoft Access, and Adobe Acrobat Pro
  • Familiar with ComputerEase or similar accounting software is desired
  • Strong verbal and written communication skills
  • Locomotion —Walking, using stairs and inclines, standing, and moving and lifting inventory items

Education & Experience

  • Overall Experience — 3 Years of previous work-related skill, knowledge or construction management experience is required
  • Education — High school diploma or G.E.D. Vocational school diploma or certification
  • Bilingual — Speaking Spanish and English fluently is highly desired
